This notice explains how we use information collected through the Arddwyn Cottage website and its enquiry form.
Who we are
Conwy Cwtch Ltd is responsible for your information (the data controller). Our company number is 15210162, registered in England and Wales. The registered office is not the cottage address.
What we collect and why
When you enquire, we receive your name, email address, preferred dates, guest numbers, whether you are bringing a dog, and anything you include in your message. Please only include information we need to help with your stay.
We use these details to respond, check availability and discuss a possible booking. For a prospective booking, our lawful basis is taking steps at your request before entering into a contract. For general questions and keeping our website secure, we rely on our legitimate interests in running the cottage, helping visitors and preventing misuse.
Sending this form does not reserve dates, take payment or sign you up to marketing emails.
Who handles your information
DreamHost provides our website hosting and email delivery. Your enquiry is sent to admin@conwycwtch.com for us to handle.
We also access this inbox through an email app on our phone. The app and its service provider may process email data to display and synchronise messages. We do not automatically forward enquiries to another email address.
DreamHost processes data in the United States. Its data processing terms include standard contractual clauses and a UK International Data Transfer Addendum for applicable transfers. Contact us for more information about these safeguards.
Links to booking platforms and maps take you to separate websites with their own privacy notices. We do not embed their maps or tracking tools in this website.
How long we keep information
For enquiries that do not become bookings, we delete the correspondence within 12 months of the last contact. If we need to retain particular correspondence to meet a legal obligation or resolve a dispute, we keep only what is needed for that purpose.
If an enquiry becomes a booking, relevant information is needed to manage your stay and fulfil our legal obligations. Retention then depends on the booking and the applicable record-keeping requirements; you can contact us about your particular records.
DreamHost's website access and error logs normally remain available for seven days. These may include IP addresses, requested pages, dates and error details. Our form also uses a hashed IP address and short-lived counters to limit spam. The counters expire after one hour and expired entries are cleared when a subsequent enquiry is processed. They do not contain your enquiry text.
Cookies and form security
We do not use analytics or advertising cookies. When you interact with the form, we use an essential session cookie called arddwyn_enquiry to protect submissions and help prevent duplicate messages. It normally ends when your browser session closes; some browsers restore sessions. It is not used for advertising or tracking you across websites.
If your browser blocks this cookie, the form may not work. You can still email us directly.
Your rights
Depending on the circumstances, you can ask to access, correct or erase your information, restrict its use, object to processing based on legitimate interests, or receive certain information in a portable format. These rights are subject to the applicable legal conditions.
